Genealogical Preservation Coordinator

Purpose:
 
Under general supervision, performs genealogical tasks in the oversight and implementation of multiple historical, cultural or natural museums, galleries or sites collections.  

Duties, Functions and Responsibilities:
  Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.

 

  • Develop, organize, operate and execute a City of Austin Genealogical Preservation Education Program.
  • Build relationships with government agencies, libraries, schools, historical and cultural organizations in pursuit of tracking and documenting genealogical resources and dissemination of educational programs.
  • Work in tandem with the City of Austin museum collections and archives personnel to build a database of genealogical materials including archival materials.
  • Create a system for appropriately preserving vital and original documents and archives in tandem with collections manager.  Participate in the processing of additions to the archives, as needed. Preserve and store items in the archives in accordance with professionally accepted standards and practices.
  • Provide access to the public to Genealogical materials and archival resources through appropriate means.
  • Communicate with the public regarding Genealogy museum and center activities through various marketing outlets including social media, print publications and advertising.
  • Serve as the records manager for archives in conjunctions with City document requirements and systems.
  • Provide periodic reports to management on the grown and effectiveness of the Genealogy Program and research.
  • Train volunteers, interns and support staff in proper family history research methodologies and preservation practices.
  • Create a preservation plan for Genealogical records and archives including digitization of collections. 
  • Assist with acquisition of collections and archives, in accordance with the Division’s Collection’s Policy.  
  • Create and compile finding aids, indexes, bibliographies, reference guides, articles, statistics and reports in both print and electronic form.
  • Provide excellent customer service to both internal and external customers. 
  • Prepare and perform outreach activities including presentations in schools, community groups, local, state and national historical societies and other City facilities.
  • Assist patrons with instruction in Genealogical Research including assistance with operating computers, microfilm readers or microfiche readers; basic genealogical research techniques.  
  • Provide assistance with archival research both at the City of Austin museums, culture centers and other facilities.
  • Prepare grants to fund special projects as needed.
  • Stay informed about issues, trends and news affecting Genealogy, local history and archival methods.

  • May be responsible for the full range of supervisory activates including selection, training, evaluation, counseling and recommendation for dismissal.
Knowledge, Skills, and Abilities:
  Must possess required knowledge, skills, abilities, and experience and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed.
  • Knowledge of cultural education programs and appropriate care of exhibit materials.
  • Knowledge of professional genealogy theory, best practices, standards, industry trends and requirements.  
  • Knowledge of business and management principles involved in strategic planning and resource allocation.
  • Knowledge of supervisory and managerial techniques and principles.
  • Knowledge of principles and methods for showing and promoting cultural and historical exhibits.
  • Knowledge of large national and local genealogy databases, including archival issues and trends.
  • Knowledge of disaster planning and recovery techniques for records.
  • Knowledge of Federal, State and Local laws.
  • Knowledge of city practice, policy and procedures.
  • Skill in oral and written communication.
  • Skill in using computers and related software applications.
  • Skill in handling multiple tasks and prioritizing.
  • Skill in planning and organizing.
  • Ability to apply for and monitor grants and donations.
  • Ability to establish and maintain good working relationships with other city employees and the public.

Minimum Qualifications:
 

 

  • Graduation with a Bachelor’s degree from an accredited college or university with major coursework in Genealogy, Art, Art History, Museum Science, Sociology, or other related field, plus three (3) years of experience in the planning and implementation of genealogy administration.   
  • Experience may substitute for education up to four (4) years.  

 

 

Licenses and Certifications Required:
 
  • National Genealogical Society (NSG) Certification or be willing to obtain Certification within one (1) year of employment.  
  • Texas State Genealogical Society (TXSGS) Certification preference given.
