Booking & Account Supervisor

Purpose:
  Responsible for managing professional and support staff who performs the sales and marketing functions for the Austin Convention Center Department.
Duties, Functions and Responsibilities:
  Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.
  1. Manages and maintains electronic booking system for public event facilities. Reviews all potential events for booking availability. Approve all bookings for public event facilities.
  2. Develop and implement procedures for the electronic booking system.
  3. Assists Director or be Director's designee in determining final facility pricing.
  4. Negotiate and determine space availability and utilization with potential clients. Analyze booking needs for public event facilities.
  5. Compiles data and develop reports. Develops and maintain budget.
  6. Develops potential customer lists and maintain current client lists. Initiate contracts for events. Monitors established contracts for products and services ensuring customer satisfaction. Discusses rules and regulations for building usage with clients. Develops facility pricing information for potential clients. Conducts reference checks on prospective clients and review for outstanding financial balances. Discusses and provide information regarding event placement with clients
  7. Identifies preliminary logistical requirements for events and determine preliminary booking dates. Develop meeting profiles.
  8. Attends conventions, trade shows and conference on behalf of the ACCD to solicit groups. Make presentations to groups on behalf of ACCD.
  9. Reviews booking, contracting, operating and event procedures with prospective clients. Assists clients in determining event needs (i.e. food/beverage, audio/visual, utilities, insurance, etc.). Reviews post-event information and identify needed areas of improvement. Relay client's event concerns and issues to Event Coordinators
  10. Participates in industry meetings, conferences and/or trade shows. Provides sales and marketing tours. Makes sales calls, conduct facility tours.
  11. Responds to client/customer questions.

Minimum Qualifications:
 
  • Graduation with a Bachelor’s degree from an accredited college or university with major coursework in Business Administration, Public Administration, Marketing, Liberal Arts or related field plus four (4) years of relevant work experience in a convention center, public assembly/event facility or other related facility/industry, one (1) year of which was in a Lead/Supervisory capacity.
  • Experience may substitute for the education up to the maximum of four (4) years.
