Convention Services Supervisor

Purpose:
 
Under limited supervision, provide technical assistance oversight in planning for convention services related to all scheduled events in a public assembly/event facility. These convention services would include utilities, security, IT, parking, etc.

Duties, Functions and Responsibilities:
  Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.
  1. Coordinates weekly division meetings. Reviews and develops division policies and procedures and operational manual.
  2. Verifies convention services invoices and event billing. Verifies refund requests. Verifies event closeout.
  3. Provides information for ACCD Web page.
  4. Oversees the collection of pre-convention/event information and ensures adequate services are available. Ensures event files are accurate and timelines are met.
  5. Reviews/inspects the area to ensure requested services are properly assigned and billed. Oversee the provisioning of convention services for the facility during events.
  6. Writes and drafts routine correspondence.
  7. Communicates with other department divisions regarding client needs for services.
  8. Develops budget.
  9. Answers client/citizen questions related to convention services and provides assistance
Responsibilities - Supervisor and/or Leadership Exercised:
 
Responsible for the full range of supervisory activities including selection, training, evaluation, counseling and recommendation for dismissal

  Must possess required knowledge, skills, abilities, and experience and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed.
  • Knowledge of public assembly/event planning.
  • Knowledge of Federal, State and Local laws.
  • Knowledge of city practice, policy and procedures.
  • Knowledge of fiscal planning and budget preparation.
  • Knowledge of safety practices and procedures.

  • Skill in handling multiple tasks and prioritizing.

Minimum Qualifications:
 
Graduation with a Bachelor’s degree from an accredited college or university with major coursework in Business Administration, Public Administration, Marketing, Liberal Arts or related field plus three (3) years of relevant work, one (1) year of which was in a supervisory/lead capacity.

Experience may substitute for the education up to the maximum of four (4) years.
