Convention Services Lead

Purpose:
 
Under general supervision, provide technical assistance in planning for convention services for the more complex scheduled events in a public assembly/event facility. These convention services would include utilities, security, IT, parking, etc. This position does not supervise.

Duties, Functions and Responsibilities:
  Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.
  1. Serves as primary department contact with event clients for convention services. Determines course of action for division and cost impact on clients and customers during events. Collect pre-convention/event information to ensure adequate services are available.
  2. Reviews/inspects area to ensure clients have all committed services. Coordinates the provisioning of convention services for the facility during events.
  3. Compiles data/information for cash reports, cost estimates, revenue estimates and actual, etc.
  4. Writes/drafts routine correspondence and maintain event files.
  5. Coordinates on-site staff related to convention services for exhibitions, trade shows, meetings etc.
  6. Communicates with other department divisions regarding client needs for special services.
  7. Collects, analyzes, and compares convention services and fees to other facilities.
  8. Assists in reviewing the development of division policies and procedures and operational manual.
  9. Answers client/citizen questions related to convention services and provide assistance

  • Knowledge of media production, communication and dissemination techniques and methods (utility).
  • Knowledge of transmission, broadcasting, switching, control, and operation of telecommunication equipment (utility).
  • Knowledge of security practices and procedures (security). 
  • Knowledge of safety practices, and procedures.
  • Knowledge of Federal, State and Local laws.
  • Knowledge of city practice, policy and procedures.
  • Skill in oral and written communication.
  • Skill in handling multiple tasks and prioritizing.

  • Ability to establish and maintain good working relationships with other city employees and the public.
Minimum Qualifications:
 
Graduation with a Bachelor’s degree from an accredited college or university with major coursework in Business Administration, Public Administration, Marketing, Liberal Arts or related field plus two (2) years of relevant work experience.

Experience may substitute for the education up to the maximum of four (4) years.
